Executive Assistant
Reports to: Director, Executive Office Administration
Department: Executive Office

Position Description and Responsibilities
- Provides administrative support to the director of executive office administration, the CEO and other executive staff, as needed
- Communicates regularly with the CEO and senior management to coordinate internal meetings, conferences, monthly reports, specific projects, etc.
- Prepares and expedites general correspondence, agendas, special mailings and supporting documents for projects
- Coordinates all travel, itineraries and related services for the CEO’s domestic and international travel, as well as travel for other executive office staff, as needed
- Oversees all accounting of travel accounts, expenses and reimbursement for the CEO
- Assists with meeting preparations and mailings to the Board of Directors, other VIP’s and chairpersons of committees
- Assist with the planning and execution of internal meetings
- Coordinates the CEO’s participation in regional meetings
- Assists in maintaining the executive office filing system
- Provides knowledgeable telephone coverage for the executive office
- Sorts and distributes incoming mail for the executive office staff, as required
- Performs all the essential duties and functions of the position and other related duties as assigned and as necessary
Position Requirements
- BA or BS degree
- Advanced degree a plus
- Five to seven years of executive administrative experience, preferably in a non-profit environment
- Excellent administrative and organizational skills
- Excellent written and oral communication skills
- Ability to exercise good judgment in interactions with VIPs
- Keen attention to detail
- Experience arranging travel for executives or academics
- Ability to multi-task and follow through on projects
- Exceptional interpersonal skills, professional demeanor and appearance
- Proficiency in Microsoft Word, Excel and Office applications
- 50+ wpm typing speed with high degree of accuracy
- Outstanding written and oral communication skills
- Excellent grammar, spelling and syntax
