Customer Service Assistant

Reports to:  Assistant Director, Sales and Outreach
Department:  Sales and Marketing, Publications
Employment Status: Full-time/Exempt

Position Description and Responsibilities

  • Manage all inbound and outbound calls effectively and in a timely basis;
  • Handle all customer email inquiries in a timely manner;
  • Administer all claims for print journals;
  • Update all customer records in CRM database, ensuring accuracy and completeness;
  • Develop and distribute customer files to Finance Department to initiate the invoicing process;
  • Work with Finance to ensure timely delivery and accuracy of invoices;
  • Reconcile payments with Finance reports;
  • Develop and provide print runs for the journals;
  • Work with journal hosting vendor to ensure seamless uploading of subscriber files, access to the journal content, and accurate and timely reporting; and
  • Perform the essential functions of the position and other responsibilities as may be assigned by the assistant director, Sales and Outreach.

Position Requirements

  • Bachelor’s degree or equivalent work experience;
  • Two to three years of experience;
  • Strong customer service orientation;
  • Highly organized and detail oriented;
  • Flexible work style;
  • Outstanding verbal and written communication skills;
  • Ability to prioritize work and meet deadlines;
  • Ability to manage multiple tasks;
  • Ability to work independently and as part of a team;
  • Knowledge of CRM systems;
  • Knowledge and experience with Salesforce is preferred;
  • Good working knowledge in Excel; and
  • General use of Microsoft Application.
