American Association for Cancer Research

Submission Instructions

Abstract Submission Deadline was
Monday, December 1

The abstract submission process consists of the following steps:

Step 1: Copyright Transfer/Permission to Record/Abstract Presentation
The corresponding author of the paper, as an author of the abstract and on behalf of all authors, must check the appropriate box in the Online Abstract Submission System to confirm that the authors transfer copyright of the abstract to the AACR (in the event that the abstract is published in the Proceedings of the AACR) or, alternatively, to confirm that the abstract was prepared by an employee or employees of the United States Federal Government and therefore copyright cannot be transferred. Checking the box described above will also grant exclusive permission to the AACR to record the audio portion (if any) of the abstract presentation at the AACR 100th Annual Meeting 2009 and to collect all revenue from subsequent CD sales. By checking the box on this submitter page, the corresponding author also confirms his/her agreement with AACR Annual Meeting policy pertaining to the presentation of abstracts. Submission cannot be completed until this box has been checked.

Step 2: Title and Short Title
Please enter titles in sentence case, not in capital letters. Titles should be indicative of the content of the abstract. All words necessary to identify the subject matter should be included in the title to facilitate electronic retrieval. Short titles cannot include more than 35 characters. Avoid nonstandard abbreviations in abstract titles; for more information refer to the "Abbreviations" section of the Cancer Research Instructions for Authors.

Step 3: Authors
You must enter the names, affiliations, and CME disclosures of all co-authors associated with the abstract. Please confirm the spelling of all co-author names before submitting your abstract; author corrections will not be accepted after the December 1 abstract deadline.

Presenter Contact Information: Each abstract must have a presenter, and the presenter of an abstract must be one of the authors of the abstract. It is expected that the presenter will be the first author and that the presenter will also serve as the corresponding author. The presenter must provide his or her name, AACR member number (if applicable), address, telephone and fax numbers, and e-mail address in the fields provided in the Online Abstract Submission System.
Note: All correspondence pertaining to the abstract will be sent to the e-mail address provided on the Presenter Contact Information screen of the Online Abstract Submission System.

Step 4: Abstract Body Text
Abbreviations may be used in the body of an abstract if they are defined at their first mention in the text. Complex therapeutic regimens must be identified. Please do not include titles or authors in the body of your abstract.

You may submit the body of your abstract in one of three ways: 1) Copy and paste the text from an existing word processing document; 2) Type the abstract body directly into the submission system; or 3) Upload an existing word processing file to the submission system.

Tables: One table may be submitted as part of an abstract if the authors feel that the table will contribute substantially to the impact and understanding of the research. However, please note that tables will be counted as 800 characters against the 2,600-character limit. The Online Abstract Submission System will enable you to create a table online. Illustrations are not permitted.

Step 5: Abstract Category, Subcategory, and Subclassification
You must select a single category, subcategory, and subclassification from the menu provided in the Online Abstract Submission System. These designations will serve as a guide to the Program Committee in assigning reviewers and grouping abstracts but will not necessarily be the actual titles of scientific sessions to be held at the Annual Meeting.

Drug Development and Translational and Clinical Research Track: If your abstract reports preclinical research or clinical trials and you wish to have it considered for special oral presentation in a Drug Development and Clinical Research Track session, please select the appropriate designation in the Online Abstract Submission System.

Steps 6-8: Keywords, Primary Organ Site, and Research Type for Indexing Purposes
You may select keywords that can be used to reference your abstract. These keywords will be used to create the subject index for the print version of the Proceedings of the AACR and will also be used to reference your abstract in the online and CD-ROM versions of the Proceedings. Please note that if you do not provide keywords your abstract will not appear in the print Proceedings subject index.

Abstracts will also be indexed using two other criteria. You will be asked to indicate whether your abstract addresses a specific primary organ site and, if so, which organ site is the primary focus. In addition, you will be asked to classify the research focus of your abstract as basic, translational, clinical, epidemiological, or behavioral research. Meeting abstracts will be indexed according to these criteria to assist attendees in creating personal tracks for the meeting.

Step 9: Disclosure of Chemical Structures
You must indicate whether a chemical structure was used to generate the data in the abstract being submitted and, if so, you must confirm whether or not you will make that structure available during your abstract presentation. The Program Committee will consider your response to this question in their evaluation of your abstract. For additional details on the AACR policy pertaining to the disclosure of chemical structures, please download the Sponsorship Regulations and Disclosure of Chemical Structures policy.

Step 10: Sponsor Information
Each abstract submitted for presentation at the AACR 100th Annual Meeting 2009 must be sponsored by a member in good standing. The Online Abstract Submission System will enable you to search the AACR database to identify the member who has agreed to sponsor your abstract. Student members are not eligible to sponsor an abstract. Please download the Sponsorship Regulations and Disclosure of Chemical Structures policy for additional information.

Note Regarding Sponsorship: You must obtain the permission of the sponsor prior to selecting the sponsor in the Online Abstract Submission System. Each member selected as an abstract sponsor will receive notification requesting confirmation of support for the abstract. Sponsors and endorsers are strongly encouraged to review the confirmation e-mail or fax to ensure that the correct abstract (title, authors, etc.) has been indicated.
Sponsor Eligibility for Those Applying for Membership:
Individuals who wish to apply for AACR membership and sponsor their own abstracts must submit their complete applications for membership no later than November 21, 2008. Applicants who submit their applications after this deadline will not be permitted to sponsor their own abstract. Authors are requested to submit their applications before initiating abstract submission.

Step 11: Eligibility for Financial Support
Qualified persons who wish to be considered for financial support should check the appropriate boxes in the Online Abstract Submission System. Note that a separate application is required for some awards. Additional information is available on the Financial Support for Attendance webpage.

Step 12: Abstract Processing Fee
Each abstract submission must be accompanied by payment of the $50 abstract processing fee. Presenters may pay this submission fee online by credit card at the time of their abstract submission or they may send a check to the address provided in the payment section of the Online Abstract Submission System. Presenters paying by check should include the Abstract Control Number on the check. This fee is non-refundable. Receipts may be obtained by contacting the AACR Finance Department at finance@aacr.org.

The AACR will not be responsible for the acceptance and processing of revised abstracts that are not submitted in compliance with the above regulations. No changes may be made in abstracts after the December 1, 2008, deadline, and the AACR cannot comply with any request for withdrawal of an abstract that will delay the publication of the Proceedings.

ABSTRACT DEADLINE
The deadline for abstract submissions was 11:59 p.m. U.S. Eastern Time, Monday, December 1, 2008. Abstracts submitted in any form after the deadline will not be considered by the Program Committee.

Note: Submitting an abstract for presentation at the 100th AACR Annual Meeting 2009 does not constitute registration for the meeting. Abstract presenters must register to attend the meeting.
