Photo, Video, and Audio Recording Policy

Please read the following information closely regarding the photo, video, and audio recording policy for the AACR Annual Meeting 2026. You may contact Julia Gunther at [email protected] or Kathleen Medora at [email protected] with additional questions.

Policy for Registered Media

Registered media are permitted to take photos, film interviews, and record audio in the following areas of the convention center:

  • Press conference room
  • Interview rooms (daily limit: 2 hours per outlet)
  • Hallway in the immediate vicinity of the press room (see press room staff for guidance)

Registered media may also take photos and record audio in the common areas of the convention center. However, recording video outside designated press areas is prohibited without prior approval from the AACR public relations team. Approved requests will require either a special camera tag or an escort by a member of the AACR public relations staff. To submit a request, please contact Kathleen Medora at [email protected]. During the meeting, please visit the press room for guidance.

  • Please note that the “common areas of the convention center” do not include the exhibit hall. Rules regarding the exhibit hall are below.

You may not take photos or record video or audio in session rooms for public or commercial use. You may take photos of slides and utilize hand-held devices to record excerpts of presentations for personal and non-commercial use only. Please be mindful to not share any slides marked “DO NOT POST” on social media or elsewhere.

Interview Rooms

A limited number of private interview rooms are available to registered reporters for a maximum of two hours per day, per outlet. To reserve space in one of these rooms, please contact Julia DeMalto at [email protected]. During the meeting, please visit the press room to reserve an interview room.

PHOTOS, VIDEO, AND AUDIO RECORDING IN THE EXHIBIT HALL

Registered media and registered PIOs may request photos of the exhibit hall from a member of the AACR public relations staff. Brief b-roll shots of the exhibit hall are permitted if accompanied by an AACR public relations staff escort. Media interviews in the exhibit hall must be scheduled and approved by AACR public relations staff in advance, and, once approved, may only take place within an interviewee’s booth. To submit a request related to filming in the exhibit hall, please contact Kathleen Medora at [email protected] in advance of the meeting or visit the press room to speak with AACR public relations staff during the meeting.

Exhibitors must follow the exhibitor photography policy on page 22 of the Exhibitor Prospectus.

Groups and individuals who are not registered media, registered PIOs, or exhibitors are not permitted to film in the exhibit hall or elsewhere in the convention center.

Poster Sessions

Registered media and registered PIOs are permitted to take photos and record video and audio at posters with the express, written consent of the poster presenter. Due to space constraints, only small hand-held devices are allowed. No tripods or other equipment that may interrupt the flow of traffic in the aisle or prevent attendees from accessing posters may be used. Registered media and registered PIOs must inform press room staff before recording any videos at a poster session.

OTHER FILMING REQUESTS

Most groups and individuals who do not qualify for complimentary media or PIO registration are not permitted to film inside the convention center during the AACR Annual Meeting. Exhibitors may film within their booths following the requirements outlined in the Exhibitor Prospectus linked above.
