Activities in the Exhibit Hall (Halls A-G)
EXPLORE
Explore! is a fantastic way for attendees to interact with exhibitors while entering a drawing for one of five Amazon gift cards. Download the AACR Annual Meeting Mobile App Game for complete instructions. Attendees are encouraged to visit participating exhibitors and various other locations throughout the meeting, scan the QR codes, earn points, and win prizes. Winners will be selected after the meeting and gift cards will be mailed shortly thereafter.
CONCESSION STANDS
AACR will provide areas in the exhibit hall for all attendees and exhibitors to grab a bite to eat or something to drink during exhibit hours. A variety of food and beverages will be available, along with seating.
REFRESHMENT BREAKS
Throughout the Exhibit Hall, there will be several coffee breaks and water stations. Enhanced refreshment breaks on the exhibit floor will be placed in various areas on Monday, April 20 and Tuesday, April 21 in the afternoon.
HEADSHOT LOUNGE
Supported by AstraZeneca, the Headshot Lounge will give you the opportunity to get a new professional headshot taken for that resume, social media, etc.
CHARGING STATIONS/LOUNGES
Daiichi Sankyo is supporting several charging stations/lounges for the meeting. Take a break from the meeting, grab a snack, and charge your device…but on the way there, visit exhibitors! There are also charging stations placed in the lobby of the convention center, bring your cords to plug in and relax.
WELLNESS LOUNGE
AACR will provide the Wellness Lounge located in the exhibit hall. This lounge will feature Frosted Paws senior, adoptable dogs and spa water.
EXHIBITOR SPOTLIGHT THEATER PRESENTATIONS
Located in the Sails Pavilion (directly above the exhibit hall), five theaters have been reserved by exhibitors to present their latest products and services in special one-hour sessions on the exhibit floor. Please download the meeting app to view all presentations.

EXHIBIT SPACE FEES
10’x10’ Inline Booth $4,650
Corner Charge $200 per corner
10’x10’ Premium Booth $4,850 (Opposite Posters Sessions, Coffee Breaks, AACR Central)
Island Booth Spaces $48.50 per sq. ft.
Non-Profit Booth Spaces $1,200 each (for first booth; regular rate for any additional booths)
*To qualify for the Non-Profit rate, you must select booth space in the non-profit section in the Hall.
BOOTH PAYMENTS
A 50% deposit for your booth space is due with your application or within 30 days of your application, and the full payment is due September 15, 2025. Exhibitors that sign up after September 15 have 30 days to pay in full. For payments using ACH, check, or wire transfer, please contact the Exhibits Team.
BOOTH CANCELLATIONS
Notification of booth space cancellation or space reduction* must be submitted in writing to [email protected]. The following fees will apply to any cancellations or reductions in exhibit space:
- After June 13, 2025–Exhibitor is responsible for 25% of the total booth fee.
- After November 3, 2025–Exhibitor is responsible for the entire booth fee. No Refund will be issued.
- Exhibitors signed up after November 3, 2025 have 30 days to cancel for a 50% refund.
Exhibitors that sign up after November 3, 2025 have 30 days to cancel for a partial refund, 50% of booth fee. After 30 days of receipt of booth space, the Exhibitor is responsible for the entire booth fee.
*Exhibitors that change the size of their exhibit space are not guaranteed the originally assigned location and are subject to relocation by the AACR and to the cancellation/reduction policy as stated above.
AACR OFFICIAL VENDORS
Convention Management Resources (CMR) and Event Citadel (formerly CompuSystems) are the official hotel and registration management providers for the AACR Annual Meeting 2025. No other hotel, registration management companies, or travel agencies are authorized to place hotel reservations or registrations for the Annual Meeting on behalf of the AACR.
The AACR evaluates and chooses vendors who offer superior service and quality products to exhibitors. The AACR only provides the exhibitor list to official vendors. All official vendors must display the official vendor seal of the meeting. Please contact the exhibits team for further questions or clarification.
SOLICITING BUSINESS OUTSIDE BOOTH
Any individual observed to be soliciting business in the aisles or other public spaces, or in another company’s booth, will be in violation of our Exhibit Policies. The Floor Manager will be on duty to ensure that everyone follows the rules and regulations of the meeting. Should any exhibitor witness an individual, especially a non-exhibitor, violating this policy, we ask you to notify Exhibit Management immediately. Companies pay to exhibit at our meeting, and it is unfair practice for someone to conduct business without being an official exhibitor. We take this violation very seriously.

AACR Annual Meeting News and Out-of-Home Marketing
AACR Annual Meeting News, the official news source of the AACR Annual Meeting 2026, is available in a digital platform. TriStar is the required agency through which AACR exhibitors and non-exhibiting industry supporters must reserve out-of-home advertising opportunities. No other vendor may be used. Sponsors who book out-of-home advertisements outside of TriStar may lose priority points and the opportunity to participate in official AACR Annual Meeting sponsorships. Build traffic to your exhibit space by taking advantage of advertising opportunities in the official online daily news site and around San Diego. Daily Alerts, the Official Mobile App, AACR Journals Print and Online Topical Collections
Advertise with AACR to promote your presence at the Annual Meeting! Digital advertising programs offer high visibility with attendees before, during, and following the Annual Meeting. Daily Alert Emails are sent each morning of the meeting and will feature breaking conference news and program updates. The Official Mobile App is utilized by attendees throughout the event to plan their schedules, network, and navigate the convention center. Mobile App opportunities include banner advertising and push notification alerts delivered directly to attendees at designated times each day. Increase your brand awareness and reach with a retargeting or geo-fence campaign to market your message to attendees on nonendemic sites throughout the Annual Meeting. Featured opportunities also include the Topical Collections. Available in print and distributed at the Annual Meeting, these article collections reflect the hot topics covered in the Annual Meeting. AACR SPECIAL CONFERENCES
The AACR organizes a variety of outstanding conferences, meetings, and workshops each year to advance our understanding of cancer and to facilitate the exchange of the most cutting-edge research in the field. Attendees are invited to stretch their boundaries, form collaborations, attend sessions outside their areas of expertise, and learn how to apply exciting new concepts, tools, and techniques to their own research.
AACR Special Conferences present unique opportunities to interact with the world’s leading experts and discuss the latest findings in rapidly developing areas of cancer research. These popular conferences are relatively small (150-400 attendees) to allow ample time for discussion and networking.
