Information for Presenters

The information below is for invited speakers and proffered abstract presenters. All presenters are expected to travel to San Diego to present their work in person. Remote presentation options will not be offered for this meeting.

PRESENTER INFORMATION: INVITED SPEAKERS

  • Advance Upload of Presentations. The Annual Meeting Presentation Management system will open on or before Wednesday, March 18. Invited speakers will receive an email when the site is available. Speakers are asked to enter a square headshot (max size: 600 x 600 px; png, jpg, or jpeg format) and paste a bio (max length: 4,000 characters including spaces) into their speaker profile on the upload site by Wednesday, April 1. The headshot and bio will be displayed on the virtual meeting platform. Presenters should log into the slide upload site, click on their name in the top right corner, and select My Profile from the menu. Users can click on the camera icon to add their headshot and click on the Biography tab to paste a bio into their profile.

    Invited Speakers in sessions located in the San Diego Convention Center are also asked to upload a draft copy of their slide presentation to the Annual Meeting Presentation Management system by Thursday, April 9.
  • Speaker Ready Room. Speakers should visit the Speaker Ready Room (Sails Pavilion, Upper Level, San Diego Convention Center) at least four hours before their sessions to test their presentations. The Speaker Ready Room will be open Friday, April 17, from 12 noon to 6:30 p.m. PT; Saturday, April 18 through Tuesday, April 21, from 7 a.m. to 6:30 p.m. PT; and Wednesday, April 22, from 7 a.m. to 12 noon PT.
    Please Note: Speakers in sessions located in hotels should not check in at the Speaker Ready Room. Speakers in hotel sessions should arrive at their rooms 30 minutes prior to the start of the session and check in with the AV technician.
  • Branded Slide Template. Speakers should use the AACR branded slide template when preparing their presentations. The slide template is available in two formats:
    • Non-CME-Accredited Sessions. Only sessions in the Educational Program (Friday and Saturday, April 17-18) are accredited for CME. If you are presenting in another session type, or if you have been informed that your Educational Program session is not accredited, use this non-CME branded template. This template includes a disclosure slide that you should include to disclose conflicts of interest.
    • CME-Accredited Sessions (most Educational Program Sessions). Educational Sessions and Methods Workshops are the only accredited session types (and not every session in these types is accredited). If you are a presenter in one of these sessions and have been informed that your session is accredited, use this CME session branded template. This template does not include a disclosure slide; your reported disclosures will be included in a separate disclosure slide.
  • Acceptable Presentation Formats. Acceptable formats include PowerPoint (.ppt, .pptx) and Adobe Acrobat (.pdf). Presentations created in Keynote cannot be accepted. Supported video formats include AVI, MPEG-1, MPEG-2, MPEG-4 (Divx, Xvid, WMV’s), MOV (H.264), Cinepack, and Techsmith.
    Please Note: The screens in all session rooms will be configured to display slides in 16:9 (widescreen) format. To avoid projection issues during the session, presenters should make sure their slides are saved in 16:9 format. Where possible, speakers should use the AACR slide template when preparing their presentations.
  • Equipment in Session Rooms. Personal laptops cannot be used in the session rooms; presenters should visit the Speaker Ready Room (Sails Pavilion, San Diego Convention Center) to transfer files from personal laptops. Please note that while wireless Internet access will be available in the session rooms during presentations, the accessibility and speed of the connection will depend on the level of network activity; therefore, to ensure functionality any web-based content will need to be included in the presentation files.

Presenter Information: Minisymposia

  • Registration and Housing. Minisymposium presenters must register for the full meeting at the rate appropriate to their membership status and obtain their own hotel accommodations.

  • Presentation and Session Format. Speakers in regular Minisymposia and Clinical Trials Minisymposia have 10 minutes to present their talks and five minutes to answer questions.
  • Advance Preparation with Session Chairpersons.
    [Note: These instructions and deadlines apply to presenters in regular Minisymposia. Presenters in Clinical Trials Minisymposia have a later deadline for slide upload and should refer to their e-mail notification for instructions.]
    Presenters in regular Minisymposia must send a summary of their talks to both of their session chairpersons no later than Wednesday, April 1. (Presenters will receivee an e-mail with the names and contact details of their session chairs on March 16.) Summaries should include a copy of the PowerPoint presentation, a description of the methods, and a summary of the findings and the conclusions. Presenters should also submit two or three questions about the general topic of the session to assist the chairpersons in stimulating discussion.
  • Session Information. Presenters can refer to their session page on the online program planner to confirm their presentation time and session location (to be posted on March 17).
  • Withdrawal of Minisymposium Presentations. Presenters who are unable to attend the meeting should inform the AACR office in writing. [Email: [email protected]]

PRESENTER INFORMATION: POSTERS

  • E-Poster Submission. In addition to presenting in person, all poster presenters are required to submit an e-poster. Poster presenters will have the option to submit a PDF of the poster with an (optional) audio file (mp3 or m4a audio formats only) or a video slide presentation highlighting their poster data (maximum of 5 slides). (PowerPoint or Keynote file submissions are not permitted.) The e-poster submission portal will open on Thursday, March 19, and submission information will be sent by e-mail at that time. The deadline for e-poster submission is Wednesday, April 8.
    Guidelines for Creating E-Posters
  • Recommended Poster Printing and Delivery Service. Poster presenters are encouraged to use the Genigraphics poster printing service, the only poster printing service that allows attendees to pick up their posters in San Diego, avoiding baggage fees and airport security delays. The Genigraphics staff will professionally review posters before and after printing and will be onsite to assist presenters. Visit the AACR Genigraphics website for more information or to place your order. To avoid rush charges, poster printing orders must be placed by 2 p.m. ET on Thursday, April 2.
  • Registration and Housing. Poster presenters must register for the full meeting at the rate appropriate to their membership status and obtain their own hotel accommodations.
  • Poster Setup and Takedown. Presenters will be admitted to the poster area beginning 30 minutes before the start of each session to hang their posters. Poster materials must be removed immediately at the end of the session so that presenters in the next session will have sufficient time to set up their materials. The AACR will not be responsible for saving posters that are not taken down at the end of the session or for any materials left in the poster hall.
  • Session Format. Poster sessions last for 3 hours, and posters must remain on the assigned board for this entire period. Presenters must remain at their posters for only the first 2 hours. During the last hour, presenters are free to examine the other posters or to attend other sessions.
  • IMPORTANT: Maximum Poster Size. Poster boards have a usable area of 5.75 feet in width and 3.75 feet in height (approximately 1.75 meters wide and 1.1 meters high). Posters cannot exceed these dimensions. Posters should be printed in horizontal (landscape) format. Each presentation should contain a top panel listing the permanent abstract number, the title of the abstract, and the names of the authors. Poster boards are numbered consecutively from 1 to 30. Each presentation should contain a top panel listing the published abstract number, the title of the abstract and the names of the authors. Illustrations, symbols, letters, and numbers should be large enough to be seen from a distance of six feet.
  • Withdrawal of Poster Presentations. Presenters who cannot attend the meeting should inform the AACR office in writing [Email: [email protected]]. If a presenter fails to attend their session without prior notice, the AACR reserves the right to prohibit or limit the presenter’s ability to present abstracts at future AACR meetings.
