Located on the upper level of the convention center in the Sails Pavilion are the Spotlight Theaters and Exhibitor Meeting Rooms.

The AACR will provide complimentary shuttle service over the meeting dates for all official AACR Annual Meeting hotels not within walking distance of the San Diego Convention Center.

EXPLORE!

Explore! is a fantastic way for attendees to interact with exhibitors while entering a drawing for one of five Amazon gift cards. Download the AACR Annual Meeting Mobile App Game for complete instructions. Attendees are encouraged to visit participating exhibitors and various other locations throughout the meeting, scan the QR codes, earn points, and win prizes! Winners will be selected after the meeting and gift cards will be mailed shortly thereafter.

CONCESSION STANDS

AACR will provide areas in the exhibit hall for all attendees and exhibitors to grab a bite to eat or something to drink during exhibit hours. Located in the back of the Exhibit Hall, a variety of food and beverages will be available, along with seating.

REFRESHMENT BREAKS

Bristol Myers Squibb is supporting several coffee breaks and water stations. Enhanced refreshment breaks on the exhibit floor will be placed in various areas on Monday, April 8, and Tuesday, April 9, at 1:30 p.m.

HEADSHOT LOUNGE

Supported by AstraZeneca, the Headshot Lounge will give you the opportunity to get a new professional headshot taken for that resume, social media, etc. The lounge is in Exhibit Hall A.

CHARGING STATIONS/LOUNGES

Daiichi Sankyo is supporting several charging stations/lounges for the meeting. Take a break from the meeting, grab a snack, and charge your device…but on the way there, visit exhibitors! There are also charging stations placed in the lobby of the convention center, bring your cords to plug in and relax.

WELLNESS LOUNGES

AstraZeneca is supporting the Wellness Lounges located throughout the exhibit hall. These lounges will feature massage stations, therapy dogs, and spa water.

Located in the Sails Pavilion, five theaters have been reserved by exhibitors to present their latest products and services in special one-hour sessions on the exhibit floor. Please download the meeting app to view all presentations.

AUDIENCE

The AACR Annual Meeting offers an opportunity to increase the visibility of your organization among the world’s most prestigious scientists and other cancer professionals. Annual Meeting attendees are laboratory scientists and clinical investigators specializing in all aspects of cancer research, including experimental therapeutics, molecular targeted therapies, chemistry, molecular biology and genetics, immunology and immunotherapy, tumor biology, virology, toxicology, prevention, and clinical and translational research.

Soliciting Business Outside Booth

Any individual who is observed to be soliciting business in the aisles or other public spaces, or in another company’s booth, will be in violation of our Exhibit Policies. The Floor Manager will be on duty ensuring everyone is following the rules and regulations of our meeting. Should any exhibitor witness an individual, especially a non-exhibitor, committing this violation, we ask you to notify Exhibit Management immediately. Companies pay to exhibit at our meeting; and it is unfair practice for someone to conduct business without being an official exhibitor. We take this violation very seriously.

*Exhibitors located in Hall E must be completely moved out of the Hall by midnight on Wednesday, April 10. Exhibitors in Hall E are limited to 10×10 booths, 10×20 booths, and 10×30 inline booths (10×30 islands are not permitted in this area).

• 10’x10’ Inline Booth                   $4,450
• Corner Charge                          $200 per corner
• 10’x10’ Premium Booth             $4,650 (Opposite Posters Sessions, Coffee Breaks, AACR Central)
• Island Booth Spaces                 $46.50 per sq. ft.
• Non-Profit Booth Spaces         $900 each (for first booth; regular rate for any additional booths)

*To qualify for the Non-Profit rate, you must select booth space in the non-profit section in Hall E.

Double‐Decker/Multi‐Level Booths

Double‐decker/multi‐level booths are permitted. You must adhere to the rules and regulations from the San Diego Convention Center. Additional requirements may be needed. Some cities require a fire watch, and drawings need to be submitted for fire marshal approval. More information will be provided in the Exhibitor Service Kit. booth payments

A 50% deposit for your booth space is due booth space is due with your booth space application or within 30 days of your application, and the full payment due September 15. Exhibitors that sign up after September 15 have 60 days to pay in full. For payments using ACH, check, or wire transfer, please contact the Exhibits Team.

BOOTH CANCELLATIONS

• Prior to June 15: Cancellation/Reduction of Space will be accepted with no penalty.
• June 16-November 15: Exhibitor is responsible for 25% of booth fee.
• After November 16: Exhibitor is responsible for the entire booth fee.  No Refund will be issued.

Exhibitors that sign up after November 15 have 60 days to cancel for a partial refund, 25% of booth fee. After 60 days from receipt of booth space, Exhibitor is responsible for the entire booth fee.

Exhibitor Housing is open. Only companies that have submitted exhibitor applications with appropriate deposits can make reservations or book a block of rooms.

Tuesday, September 12, 2023 – Exhibitor Housing opens 
Wednesday, February 21, 2024 – Rooming list deadline date for group blocks. 
Friday, February 23, 2024 – Last day to request housing based on availability.

Friday, March 29, 2024 – Reservation changes/cancellations must be made directly with the hotel(s).

AFFILIATE Meeting REQUESTS

Any meeting or event that involves AACR scientific meeting attendees hosted by a company or organization, regardless of exhibiting status, is considered an affiliate event and must be approved by the AACR. If you plan to hold a function during the 2024 Annual Meeting, you MUST complete the survey below. Please submit one request per event. If your event requires more than one meeting room, you must submit a separate request for each room needed. The Annual Meeting affiliate guide is also linked below, which includes rules and regulations, pricing, and other important information. Please contact AACR Affiliates at [email protected] with any questions.

Please note that Affiliate Meetings are different than Meeting Rooms.

Affiliate Meetings are any meeting or event hosted by a company or organization that involves AACR scientific meeting attendees. These meetings take place at one of the approved affiliate hotels and must be approved by the AACR. Affiliate meetings can be held by both exhibiting and non-exhibiting companies/organizations and there is a separate fee to host these types of meetings.

Meeting Rooms are built out rooms in the Sails Pavilion of the convention center ranging in size from 10’x10’-20’x20’. Meeting Rooms provide exhibitors with the ability to host staff meetings during the Exhibit Show and are a great opportunity to create a unique, private showroom or lounge for hosting clients and prospects. These meeting rooms can only be purchased by exhibiting companies/organizations and can only be purchased through the Exhibitor Dashboard on Map Your Show.

2024 CAREER AND BIOMEDICAL RESEARCH CAREER FAIR

The AACR 2024 Career Fair is a great opportunity for exhibiting companies to expand their footprint at the Annual Meeting, attract top talent, and make connections with scientists at all career levels.  The Fair takes place on Saturday, April 6, 2024, from 9 a.m.-3:00 p.m. Job seekers attending the Fair will meet with employers from various industries to explore opportunities within the Cancer and Biomedical Research field!

Convention Management Resources (CMR) and CompuSystems are the official hotel and registration management providers for the AACR Annual Meeting 2024. No other hotel, registration management companies, or travel agencies are authorized to place hotel reservations or registrations for the Annual Meeting on behalf of the AACR.

The AACR evaluates and chooses vendors who offer superior service and quality products to exhibitors. The AACR only provides the exhibitor list to official vendors. All official vendors must display the official vendor seal of the meeting. Please contact the exhibits team for further questions or clarification.

The AACR organizes a variety of outstanding conferences, meetings, and workshops each year to advance our understanding of cancer and to facilitate the exchange of the most cutting-edge research in the field. Attendees are invited to stretch their boundaries, form collaborations, attend sessions outside their areas of expertise, and learn how to apply exciting new concepts, tools, and techniques to their own research.

AACR Special Conferences present unique opportunities to interact with the world’s leading experts and discuss the latest findings in rapidly developing areas of cancer research. These popular conferences are relatively small (150-400 attendees) to allow ample time for discussion and networking.

The AACR also holds a variety of meetings on a recurring basis, including such collaborative programs as the San Antonio Breast Cancer Symposium, the Molecular Targets and Cancer Therapeutics Conference, the International Cancer Immunotherapy Conference, and the Biennial Meeting on Advances in Malignant Lymphoma.
